This Privacy Policy statement is made by BotTime Software Pvt. Ltd consisting of all the entities listed here (collectively, ‘we’ or ‘us’ or ‘our’, "The Company", "BotTime", "Service", “Site”, “Product”) and is effective as of 15th Jan 2019.

When you use our services, you’re trusting us with your information. Hence, this Privacy Policy is meant to help you understand what information we collect, why we collect it, and how we manage it.

Please note that your use of the Site and any of our Services is subject to our Terms of Service, which you may access at the login page. What does this privacy policy cover?

The Privacy Policy applies to individuals or entities, who are “Customers” of BotTime (via subscribing to our services and have agreed to those applicable Terms of our Service for the subscription) and from whom BotTime has collected information. This applies to all information you provide to us through the Site.

From a GDPR (General Data Protection Regulation) perspective, we are the Controller of this data. That means, we collect the data and decide on how and why it is processed.

What information does BotTime collect about me?

When you interact with us through the Services, we may collect Personal Data and other information from you, as further described below:

Information you provide to us

BotTime ID, registration, and customer support

When you register to use the BotTime app or website, create a BotTime ID, or contact us for support or other offerings, BotTime collects information that identifies you. This includes:

  • Name;
  • Date of birth;
  • Company name;
  • Email address;
  • Telephone number;
  • Address;
  • Country;
  • IP address;
  • Payment/billing information (where an app is 'paid for');
  • Content of customer support communications.

To help keep our databases current and to provide you the most relevant content and experiences, we may combine information provided by you with information from third party sources, in accordance with applicable law. For example, the size, industry, and other information about the company you work for (where you have provided company name) will be obtained from sources including, professional networking sites and information service providers.

BotTime apps and websites

We collect information about how you use our apps and websites. Depending on the app or website, this information may be anonymous or it may be associated with you. It includes:

  • IP address;
  • Type of browser and device;
  • Webpage that led you to the BotTime website;
  • Search terms entered into a search engine which lead you to the BotTime website;
  • Use and navigation of websites and apps (collected through cookies and similar technologies, or by BotTime servers when you are logged in to the app or website);
  • Analysis of your content (e.g., activity logs, and direct feedback from you) which is sent or received using an online feature of the BotTime app, or which is stored on BotTime servers.

BotTime app activation and automatic updates

When you activate your BotTime app or when you install updates to the app, we collect information about:

  • your device (manufacturer, model, IP address);
  • the BotTime app (version, date of activation, successful and unsuccessful updates);

Information we collect automatically

Log information - In addition to the above, when you access BoTTime services, our servers automatically record and store information that a browser typically sends whenever you visit a website. These server logs may include information such as your web request, Internet Protocol address, browser type, browser language, browser settings, the date and time of your request, device model, the device identifier (or “UDID”), query logs, product usage logs, usage pattern through cookies and one or more cookies that may uniquely identify your browser. We also collect clicks, scrolls, conversion and drop-off on our Websites and Service.

Information from third-party sources

BoTTime may obtain personal information about you from third parties, including, but not limited to, marketing event organizers, partners, and resellers. This information, among other things, may include your first and last name, company name, job title, work email address, phone number and address. BoTTime requires that any third party providing it with information has obtained the information lawfully and the third party has obtained the appropriate consent to share the information with BoTTime. If we combine or associate information from other sources with Personal Data that we collect through the Service, we will treat the combined information as Personal Data in accordance with this Policy.

How we use your Information

BoTTime takes your privacy very seriously. We will never sell, share or transfer your information to third parties. We will use the Personal Data in a manner that is consistent with this Policy.

If you provide Personal Data to obtain access to our Services, we will use your Personal Data to provide you with access to such services, process transactions, to answer your question or resolve your problem and to monitor your use of such services.

We may use your email address or other information to contact you for administrative purposes such as customer service, to address intellectual property infringement, privacy violations or defamation issues related to personal data posted on the Service.

Legal Basis for Processing Personal Information

Our legal basis for collecting and using the Personal Data described above will depend on the Personal Data concerned and the specific context in which we collect it.

We use the legitimate interests’ legal basis for processing direct marketing mailers/phone calls and have identified that our interests are to provide you with high quality, best in industry, HR & Payroll automation systems to help you efficiently and effectively manage your HR & Payroll operations.

Data Security

We take privacy seriously and take robust and reasonable security assures to protect Personal data from unauthorized access, maintains data accuracy, prevent alteration, disclosure and help ensure the appropriate use of the data. The measures we take include:

  • When the service is accessed using modern web browsers, Encryption, Access Management, and Securing Regulated Workloads. Cloud security at AWS is the highest priority. These technologies help ensure that the data is safe, secure and only available to the Users to whom the information belongs and those to whom the User has granted access.
  • We host our websites in a secure amazon cloud server environment that use firewalls to prevent interference or access from intruders.
  • We encrypt the data at rest
  • We restrict access to only authorized personnel through password and authentication processes.
  • We offer enhanced security features within the service that permits customers to configure security settings to the level they deem necessary.
  • If we learn of a security systems breach, we will attempt to notify you electronically through our Site or by email so that you can take appropriate protective steps.

Information Sharing

BoTTime will share personal information with other companies or individuals outside of BoTTime in the following limited circumstances:

  • Legal Requirements: We may provide this information when we have a good faith belief that access, use, preservation or disclosure of such information is reasonably necessary to (a) satisfy any applicable law, regulation, legal process or enforceable governmental request, (b) enforce applicable Terms of Service, including investigation of potential violations thereof, (c) detect, prevent, or otherwise address fraud, security or technical issues, or (d) protect against imminent harm to the rights, property or safety of BoTTime, its users or the public as required or permitted by law.
  • Business Transfers: If BoTTime becomes involved in a merger, acquisition, or any form of sale of some or all of its assets, then the Personal Data may become part of that transferred asset.

Age Restriction and Children’s Privacy Protection

Any visitor who provides information through the Site represents that they are 18 years of age or older. We do not knowingly collect information from anyone under the age of 18. Our Site and Service are not designed for users under 18. If you are under 18 years, please do not access or use this Site.

Retention of Data

When you register for a BotTime account, we process and keep most personal information we have about you for as long as you are an active user of our product. When you close your account, we begin deleting certain personal information that we no longer have a business reason to retain, such as your hashed password and your payment account data. However, we typically retain personal information related to our contract and business transactions with you for five years after your last interaction with us. We will retain Customer Data as necessary to comply with our legal obligations, for litigation/defence purposes, maintain accurate financial and other records, resolve disputes and enforce our agreements.

Where we process personal information for marketing purposes or with your consent, we process the information until you ask us to stop and for a short period after this (to allow us to implement your requests). We also keep a permanent record of the fact that you have asked us not to send you direct marketing or to process your information so that we can respect your request in future.

If the users doesn't pay the instalments the login will be deactivated immediately but database will be active for next 6 months and then all the data will be removed permanently. If you want to continue then you will be treated as new user. With in this 6 months you can continue as existing user by paying the remaining instalments.

Changes to this Policy

BoTTime regularly reviews its compliance with this Privacy Policy. We reserve the right to change or update the Privacy Policy at any time and will notify users of the Site by posting such changed or updated Privacy Policy on this page. Under certain circumstances, we may also elect to notify you of changes or updates to the Privacy Policy by additional means, such as by posting a notice on the homepage of the Site or by sending you an email.

Any changes or updates will be effective immediately upon posting to the Site and will be reflected by the Effective Date. Continued use of the Site following any changes shall indicate your acknowledgment of such changes and agreement to the Privacy Policy and any future revisions.
